Welcome to the tip of the week. This week we look at checking out appointments. A smooth check out experience leaves clients feeling good, and makes life easy for your team.
Isn't checking out just collecting payment?
Collecting payment is certainly part of checking out, but there is so much more to it. Let's not forget about all the documentation that needs to be generated - certificates, discharge instructions, etc. If your team is pulling all of these documents together one at a time, they are working too hard.
Also, what about forward booking? Checking out is a great opportunity to forward book appointments. The right checkout process ensures that the next appointment is on the books before the client leaves the practice.
How do we introduce checking out into our workflow?
Before you can check out an appointment, you need to check it in (we covered checking in last time). Assuming you've done that, you can check out right from the appointment or by changing the appointment status in the Census.
But how does it actually help?
The check out process pulls together everything that happened during that appointment and presents it together. For example, you'll be able to see the client's account balance, including any available credits. Also, you'll be able to generate a single package of all the documents that were created as part of that visit, including letters, certificates, and reminders, and email them all at once. If forward booking is something you're struggling with, you'll be able to see the reminders for that client that are coming due within the next six months to help prompt scheduling the next appointment. And of course, if you're using one of our credit card processing integrations, you'll be able to process the payment at the same time.
